Job Summary/Basic Function The Program Coordinator provides essential operational and student support for academic programs within one of the schools of the College of Health, Education, and Human Services. This position supports faculty, students, and administrators by coordinating academic processes, tracking student progress, managing field or clinical documentation, supporting events, and assisting with outreach and communication efforts. While housed within a specific school, the Coordinator collaborates with college-level offices and university departments to ensure smooth, compliant, and student-focused program delivery.
Minimum Qualifications • Bachelor's degree and two (2) years or an associate's degree and four (4) years from an accredited institution in a related field by start date with experience in a college/university setting, program coordination, project management, or related work.• Strong verbal and written communication skills.• Proficiency in Microsoft Office Suite (Word, Excel), and experience with database and records management.• Ability to work independently and collaboratively with cross-functional teams in a fast-paced academic environment.• Demonstrated organizational skills, attention to detail, and ability to manage multiple priorities.
Preferred Qualifications • Experience coordinating academic or student services programs.• Experience with university systems such as Banner, WINGS Express, Curriculog, WebXtender, or Cognos.• Familiarity with website maintenance and social media platforms for outreach and engagement.
Essential Functions and percent of time Program and Student Support - 50%
• Serve as the first point of contact for prospective and current students; respond to inquiries, schedule meetings and interviews, and provide guidance through admission, registration, and licensure/certification processes.• Track degree, licensure, and endorsement requirements; assist students and advisors in monitoring academic progress and course planning.• Coordinate field/clinical placements by securing documentation, confirming eligibility, and working with partner sites to meet compliance requirements.• Coordinate onboarding, orientation, and registration-related activities for new students at the program level.• Maintain student-facing documents such as advising guides, handbooks, and program checklists in collaboration with faculty.
Program Operations and Curriculum Coordination - 25%
• Assist faculty and program directors with course scheduling• Submit academic proposals and course changes through systems such as Curriculog and support curriculum workflow processes.• Collaborate with program directors and faculty on course scheduling; submit schedules to the registrar's office in compliance with university deadlines.• Support programmatic planning and documentation for state and national accreditation requirements.• Conduct degree audits and maintain student and program-related databases.
• May coordinate scheduling and usage of shared program facilities or specialized spaces, ensuring equitable access and proper documentation across multiple academic programs.
Essential Functions and percent of time (cont'd) Recruitment, Marketing, and Events - 15%
• Assist in planning and executing school-based events such as program orientations, information sessions, and recognition ceremonies.• Represent assigned programs at recruitment events (e.g., Raider Open House, education fairs) in coordination with college-level recruitment staff.• Assist with the development and distribution of promotional materials, including course guides, flyers, and digital content.• Maintain program websites and social media content in collaboration with university communications teams.• Support planning and execution of special events, including information sessions, orientations, and graduation activities.
Supervision and Financial Coordination - 10%
• Hire, train, and supervise student employees or graduate assistants to support program needs.• Assist in tracking expenditures, managing reimbursements, and maintaining documentation related to program-specific purchases or billing.• Run enrollment reports and assist with internal documentation for partner agreements, tuition scholarships, or billing coordination.• May assist with HR related matters such as interview and orientation scheduling• Other duties or special projects as assigned.
