Job Title: Payroll Specialist
Location: West Orange, NJ (On-site)
Reports To: Director of HR and Operations

Job Summary: We are looking for an experienced and detail-driven Payroll Specialist to process and manage payroll for multiple clients across various industries. The ideal candidate has 1-3 years of payroll experience, strong technical skills, and the ability to manage competing deadlines while delivering exceptional client service. This role requires a high level of accuracy, confidentiality, and a strong grasp of multi-state payroll regulations and systems.
Key Responsibilities: - Process accurate and timely payroll for multiple clients on varying payroll schedules (weekly, bi-weekly, semi-monthly, etc.).
- Manage multiple payroll systems and portals (e.g., ADP, Paychex, Paycom, Fingercheck, etc.) across client accounts.
- Review and verify employee timecards, PTO, bonuses, commissions, and deductions for each client.
- Ensure compliance with federal, state, and local wage and hour laws, including multi-state payroll rules.
- Maintain up-to-date and organized payroll records for all client accounts.
- Prepare payroll reports and respond to internal or external audit requests.
- Coordinate with clients’ HR or finance teams regarding onboarding, terminations, garnishments, and benefit deductions.
- Reconcile payroll discrepancies and proactively identify and resolve issues.
- Provide excellent client support by responding to questions regarding payroll, taxes, withholdings, and system navigation.
- Stay current on payroll and tax law updates and advise clients accordingly.
Qualifications: - 1-3 years of payroll experience, including experience with multi-client or multi-company payroll processing.
- Strong working knowledge of payroll systems.
- Experience handling payroll across multiple states and industries.
- High proficiency in Microsoft Excel and experience working with spreadsheets and data imports.
- Exceptional attention to detail, problem-solving skills, and organizational abilities.
- Ability to handle sensitive and confidential information with integrity.
- Excellent written and verbal communication skills; client-service orientation.
- FPC or CPP certification preferred but not required.
- Familiarity with benefits administration and payroll-related compliance tasks preferred.
- Experience working in a payroll service bureau, PEO, or outsourced HR/payroll environment preferred but not required.
Compensation & Benefits: - $60,000 – $65,000 (based on experience).
