Responsibilities

This position coordinates the scheduling for all consultants within the Department. The position assists in maintaining absences and assignment records for consultants, subspecialty clinics, procedures, and works closely with Department Management to provide reporting of ongoing activities and also to accommodate changes and adjustments as necessary. The position also works closely with practice secretaries within the department. The position works closely with the Department Administrator, Department Leadership (particularly the Practice Chair and Operations Manager) and other allied health staff regarding Divisional appointments and schedule policies, changes, and activities.

During the selection process, you may participate in an OnDemand (pre-recorded) interview that you can complete at your convenience. During the OnDemand interview, a question will appear on your screen, and you will have time to consider each question before responding. You will have the opportunity to re-record your answer to each question - Mayo Clinic will only see the final recording. The complete interview will be reviewed by a Mayo Clinic staff member and you will be notified of next steps.

Qualifications

High school diploma or equivalent (GED) and two years of related experience including some experience working with Clairvia and EPIC scheduling systems. Previous experience with faculty and appointment office strongly preferred. Due to significant contact with many customers within the department and within Mayo, prior experience with accounting, administration, appointment office, medical school, and faculty is helpful. Prior experience dealing with patients also strongly preferred due to the direct contact and coordination role regarding appointment access and patient telephone calls. Knowledge of spreadsheet applications (Excel) is preferred. The position requires an outgoing individual with above average communication skills, both written and verbal.
